How we handle your information.

The association keeps a public register of its member businesses. This page sets out what we hold, why we hold it, and what you can ask us to change.

What merchants publish

Everything a member enters in the merchant desk is intended for publication: business name, owner name, category, description, address, telephone, email, website, social links, photographs, opening hours and stock. Please do not enter a personal telephone number or address you would not want visitors to see.

What we hold privately

For each merchant account we also hold an email address and a hashed password, the membership number, join and expiry dates, and any notes the secretariat records about the membership. These are not shown on the public site.

Passwords are stored only as cryptographic hashes. Nobody at the association can read a member's password.

Visitors

Browsing the directory does not require an account. We do not run advertising trackers or third-party analytics on the public pages. Signing in sets a session cookie so the site can recognise you across pages; it is removed when you sign out.

How long we keep it

Listings are withdrawn from the public directory when a membership lapses, but the details are retained so a returning member does not have to re-enter them. The association records administrative actions — approvals, renewals, suspensions — as an audit trail for the register.

Your choices

Members can edit or delete their listing at any time from the merchant desk. To close an account entirely, or to correct anything held about you, write to the secretariat and we will action it.
